1. Respecting your confidentiality
Everyone should feel that they can participate in the Furnace Mountain community in an atmosphere of trust and safety. We understand confidentiality to be a reasonable assumption of privacy but not a strict code of secrecy. Dharma Teachers will not disclose information they receive in interviews, private emails, or practice discussion unless:
● You give them permission to do so
● Information disclosed presents the potential for serious harm to yourself or to others
● They require guidance from other senior teachers to provide the best support to students
Retreat applications will be reviewed and approved by the teaching staff.
Applications for residential living will be reviewed by the teaching staff and the residential community.

We are committed to protecting the privacy of the personal information that you provide to us. We will only collect, store and use your personal information for specific defined purposes, and with your consent. We do not sell your personal information or share your information with other organizations.
At any time you may contact Furnace Mountain with any privacy questions or concerns you may have.
You may also ask at any time to see the data you have given us and request correction or deletion.

Furnace Mountain collects personal information that is reasonably necessary for us to ensure your safety and wellbeing while you are present on Furnace Mountain.
Personal information that Furnace Mountain may collect and hold with your consent can include:
Name, address, telephone number, email address
Date of birth, gender
Practice experience/history
Relevant Medical information
Photographs
Emergency contact information
b. ACCURACY OF PERSONAL INFORMATION
Furnace Mountain will take all reasonable steps to ensure that any personal information we hold is accurate, complete and up to date.
If you believe that the information we hold, is inaccurate or out of date, please contact us and we will update the relevant information accordingly.
c. USE OF PERSONAL INFORMATION
Personal information will not be used for any other purpose without your consent, unless we are required by law to disclose that information.
We do not sell your personal information or share your information with other organizations. You can opt-out of any or all our communications at any time. To opt-out, please contact us as office(at)furnacemountain.org
d. SECURITY OF PERSONAL INFORMATION
Furnace Mountain will take all reasonable steps to protect against the loss or misuse of your personal information through appropriate physical and electronic information security. Only administrative staff and participating dharma teachers are provided with access to personal information as necessary to fulfil the purpose for which it was provided.
e. ACCESSING PERSONAL INFORMATION
You can ask us to see your personal information and request correction or deletion at any time. We will make your information available within 10 days of your request.

3. If you have a concern or complaint
The Furnace Mountain community is committed to maintaining an environment without discrimination, harassment, verbal or physical intimidation, threat, or violence. We take all concerns and complaints seriously.
If you have a concern:
We encourage you, where possible, to speak directly to the other person involved at the time, or as soon as possible after.
If you feel unable to speak with the other person, or if the matter isn’t resolved, speak to the FM guest master.
Or, if the issue is with guest master and you are not comfortable speaking directly to the guest master, or if no solution has been obtained, contact the retreat officer (head dharma teacher) of the retreat you are attending.
Or, if the issue is with the head dharma teacher and you are not comfortable speaking directly to the head dharma teacher, or if no solution has been obtained, contact the leading Zen teacher(s) of the retreat you are attending.
Or, if the issue is with the leading Zen teacher(s) and you are not comfortable speaking directly to the leading Zen teacher(s) or if no resolution is obtained, contact one of the Furnace Mountain ombudspersons listed below.
The ombudspersons have professional experience outside of the Furnace Mountain community responding to concerns and complaints.

If you feel you need to speak to someone entirely independent of the Furnace Mountain community, the ombudsperson can offer you contact information for an independent third party who will be able to help you explore options for moving forward.
The process that will be followed will depend on the nature of the concern or complaint.
Timely and effective resolution of issues is consistent with the mission and purpose of Furnace Mountain.
